As part of the recruitment process, we collect and processes personal data relating to families. This policy is meant to help you understand what information we collect, why we collect it and how you can update, manage, export and delete your information.

Information that we collect

We collect a range of information about the family including:

  • Contact name, address , contact details including email address and telephone number.
  • Occupations, family details such as ages of children, number of pets, hours worked and the role specifics such as number of hours required each week, pocket money and a description of the role/family requirement and accommodation provided.
  • Information about your ethnic origin, sexual orientation, health and religion or belief.
We collect this information in a variety of ways. For example online forms or family registration forms, dear au pair letters and au pair references. All information is provided by the families.

How we use the information we collect

We use your information in the performance of a contract to help you find childcare. The terms and conditions accepted by a family on registration set out the Agency's responsibility to find suitable childcare. In order to fulfil that responsibility it is necessary for the Agency to process the family's data.

The way your information is shared depends on the service we have provided.

Au PairYour information will be shared with our third party partner au pair agencies in EU countries and non EU countries, au pairs, and IT staff if access to the data is necessary for the performance of their roles. Personal data shall not be transferred to a country or territory outside the EEA unless that country or territory ensures an adequate level of protection or the appropriate safeguards are in place for your rights and freedoms.
BabysittingYour information will be shared with the babysitter.
NannyYour information will be shared with the nanny verbally to see if they are interested in the role and then interview details will be shared once you have confirmed you wish to meet them for interview.

We will not transfer your data outside the European Economic Area.

Information Security

Information is held on password protected and encrypted file servers.

How long we keep information

If we do not find you a childcarer, we will hold your data on file. If you agree to allow us to keep your personal data on file, the Agency will hold your data on file for future placement opportunities. If you do not consent then your data is deleted or destroyed. If your application to be a client is successful, personal data gathered during the recruitment process will be transferred to your client file and retained during the time that you have a childcarer supplied by us.

Accessing and updating your personal information

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request
  • change incorrect or incomplete data
  • require us to delete or stop processing your data

If you would like to exercise any of these rights, please contact us. If you believe that we have not complied with your data protection rights, you can complain to the Information Commissioner.
